Part-Time Finance Administrator (Client Facing)

Location: Remote, but Near Nashville is a Plus

Job Type: Part-Time

Job Description:

We are seeking a proactive and detail-oriented part-time Finance Administrator to oversee the financial dealings of a key client with multiple locations and associates. Specifically, this role will involve administering rebate payments (via our online payment platform) to various franchisees of this client, maintaining detailed records of these business units, reconciling payments monthly against bank statements, collecting and distributing conference sponsorship funds, and reporting the status of all payments to our client.Part-Time

This role combines the responsibilities of account management, financial oversight, and project coordination. The ideal candidate will have excellent written and verbal communication skills, have experience in bookkeeping and be proficient in Excel.

Key Responsibilities:

  • Client Account Management: In coordination with our senior account manager, serve as a point of contact for a client with multiple locations and business operations, ensuring consistent communication and high-quality service across all sites.
  • Financial Oversight: Monitor and manage the client’s financial records, including invoicing, payments, and reconciliation.
  • Reporting: Create financial reports using Excel and present these reports to client. Ensure all financial data is accurate and up-to-date across multiple locations.
  • Project Coordination: Use Notion or similar tools to track project milestones, tasks, and deadlines across the client’s locations. Maintain transparent communication regarding project status and deliverables.
  • Problem-Solving: Address client inquiries, resolve any discrepancies, and help manage issues related to financial or project management aspects.
  • Documentation & Record Keeping: Keep accurate records of all client-related communications, financial transactions, and project updates in Notion or other tools.

Qualifications:

  • Proven experience in account management, client-facing bookkeeping, or a similar role.
  • Strong proficiency in Microsoft Excel.
  • Ability to learn and use various software-as-a-service (SAAS) products (ex. Notion, Slack, Sharefile, Quickbooks Online, Routable)
  • Excellent verbal and written communication skills, with the ability to engage clients and associates at multiple locations.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
  • Ability to work independently with minimal supervision and effectively manage time.
  • Problem-solving skills and the ability to proactively address issues before they become challenges.
  • Experience in managing accounts for clients with multiple locations is a plus.

Education & Experience:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field (or equivalent experience).
  • Minimum of 2 years of relevant experience in accounting, project management, or account management.

Hours & Compensation:

  • Part-time position, estimated to be 10 hours per week (flexible schedule) but may ebb and flow.
  • Competitive hourly wage, commensurate with experience.
